Office Cleaning Guide

How Much Does Office Cleaning Cost in Toronto?

Published 9 min read By Evergreen Office Cleaning

Office cleaning costs depend on the work your building needs and how often it needs to be done. This guide explains how to build a monthly budget, compare commercial cleaning rates and ask for a written quote that covers your office properly.

How Much Does Office Cleaning Cost in Toronto?

There is no single price that fits every Toronto office. Two buildings with the same floor area can require different amounts of work: one may have open workstations and a small kitchenette, while the other has several washrooms, meeting rooms and a busy reception area. A useful quote starts with those details.

For an early budget, multiply an assumed cost per visit by the number of visits in a month. The table below demonstrates that calculation. These are hypothetical CAD calculations before HST, not Evergreen quotes or verified GTA market averages. The assumed $100–$300 per visit is an arithmetic input, not a statement of what your office should cost.

Hypothetical monthly budgeting examples — CAD before HST
Cleaning frequencyExample monthly budget
Once weekly$433–$1,299
Twice weekly$867–$2,601
Three times weekly$1,300–$3,900
Five times weekly$2,167–$6,501

Assumptions: 52 service weeks divided by 12 months, with no holidays or missed visits deducted. Average monthly visits are rounded to two decimal places first: 4.33, 8.67, 13.00 and 21.67. Multiplying these by the hypothetical $100–$300 per visit produces the displayed ranges. Actual invoice schedules, rounding and holiday arrangements may differ.

These examples do not assign a price to a particular office size or scope. They also do not budget separately for consumables, an initial deep clean or specialist floor work. Ask each provider to identify those items and any applicable taxes in writing. Ontario’s HST rate is 13%.

What Factors Affect Commercial Cleaning Rates?

Square footage matters, but it does not describe every task a cleaning crew needs to complete. Explain how your office operates, which areas get the most use and what a satisfactory result looks like. The following six factors help turn a general price discussion into a practical scope of work.

Office size and layout

The cleanable floor area, number of rooms and furniture arrangement affect the time needed. Open floors, individual offices and crowded workstations present different tasks.

Cleaning frequency

More visits add service time across the month. Choose the schedule around occupancy, visitors and how quickly washrooms, bins and shared areas need attention.

Washroom count

Fixtures, floor space and usage all matter. Include the number of washrooms and clarify cleaning, replenishment and any checks needed between scheduled visits.

Flooring materials

Carpet, tile and finished hard floors need different methods. Separate routine vacuuming and mopping from carpet extraction or floor stripping and waxing.

After-hours access

Keys, alarm instructions, security check-in, parking and elevator access shape the service window. Confirm any access-related charges before agreeing to a schedule.

Supplies and consumables

Cleaning chemicals and equipment are different from toilet paper, hand soap and paper towels. Specify who supplies each item and how restocking is charged.

Tell the provider about sensitive equipment, restricted rooms and areas that staff must clear before a visit. Agree on what can be moved, what can be wiped and which surfaces should be left alone. That prevents an apparently complete quote from relying on assumptions neither party discussed.

What's Included in Office Cleaning?

Routine office cleaning can cover accessible workstation surfaces, kitchens, washrooms, floors and shared spaces. The contract should specify the tasks for your building rather than relying on the phrase “general cleaning.” A written schedule also distinguishes work done every visit from tasks done periodically.

At workstations, clarify whether desks need to be cleared and whether monitors, keyboards or other equipment are excluded. In kitchens, identify accessible counters, sinks, tables and appliance exteriors. Interior fridge and oven cleaning should be discussed separately. In washrooms, specify fixtures, touchpoints, floors, bins and the arrangement for refilling dispensers.

The suggested frequencies below are starting points for a discussion, not a fixed Evergreen package. Adjust them for occupancy, food use, foot traffic and your building’s requirements. A weekly contractor visit does not replace the day-to-day housekeeping a busy office may need between visits.

Example cleaning scope to discuss at a walkthrough
AreaRoutine tasks to specifySuggested frequency to discuss
WorkstationsWipe cleared, accessible surfaces; empty designated bins; dust agreed surfaces. Each scheduled visit; detail dusting on an agreed rotation.
Kitchen and break roomClean counters, sinks, tables and appliance exteriors; empty bins; clean floors.Daily housekeeping in occupied offices; contractor tasks at each scheduled visit.
WashroomsClean fixtures, agreed touchpoints, mirrors and floors; empty bins; replenish agreed supplies.Daily attention when occupied; additional checks for busy facilities.
FloorsVacuum carpets and mats; sweep or mop suitable hard floors using an appropriate method.High-traffic areas each visit; other areas as agreed.
Reception and shared spacesClean accessible tables and touchpoints; remove waste; maintain entrance floors. Each scheduled visit, adjusted for visitor traffic.

Ask about periodic work before you sign. Carpet extraction, interior glass, high-level dusting and floor stripping and waxing should have their own agreed scope and frequency when required. An initial deep clean may also be needed before a maintenance schedule begins.

Worked Example: Cleaning a 6,000-Square-Foot Toronto Office

Suppose an office has 6,000 square feet, two washrooms and a schedule of five visits per week. To demonstrate the arithmetic, assume a charge of $150 per visit. The amount is hypothetical: it is not an Evergreen price, quote or verified market rate for a 6,000-square-foot office.

Hypothetical office budget — CAD

Office size
6,000 sq. ft.
Washrooms
2
Cleaning frequency
5 visits weekly
Hypothetical per-visit amount
$150
Illustrative monthly cost before HST
$3,250
13% HST
$422.50
Monthly amount including HST
$3,672.50

$150 × 5 visits × 52 weeks ÷ 12 months = $3,250. Adding 13% HST gives $3,672.50. This annualized example assumes all 260 visits take place. It excludes separately priced consumables, initial deep cleaning and specialist services.

Using 52 ÷ 12 rather than four weeks avoids leaving four weeks of service out of an annual budget. It does not mean every calendar month has the same number of visits. Ask whether your agreement uses a fixed monthly amount or invoices for actual visits, and how holidays, closures and extra work are handled.

How Can You Compare Office Cleaning Quotes and Control Costs?

The most useful comparison is between written scopes with the same rooms, tasks and schedule. A lower monthly amount may cover fewer visits, leave out supplies or omit periodic work. Ask each provider to price the same requirements so that the differences are visible.

Compare written scopes of work

List every room and the tasks expected there. Record the frequency, the service window, any exclusions and how additional work is authorized. Ask whether the quoted amount includes equipment and cleaning products, and whether an initial clean is separate. Avoid agreeing to extra work without a written price or approval process.

Check insurance, bonding and WSIB

Ask for current evidence of liability insurance, the provider’s bonding arrangements and applicable WSIB coverage or clearance. Confirm the documents relate to the business carrying out the work. Ask how damage, access incidents and concerns about the service are reported and handled.

Ask about staff consistency and inspections

Find out whether a regular crew will service your office, who covers absences and how replacement staff learn your requirements. Ask who checks the work, how inspections are recorded and who you contact when something needs attention. The inspection process should refer back to the scope you agreed to.

Confirm access and consumables

Put key handling, alarm instructions and restricted areas in the access plan. Identify responsibility for parking or security charges. For washroom and kitchen consumables, agree who purchases supplies, who replenishes them and whether there are separate delivery or service charges.

Avoid common contract mistakes

  • Comparing the monthly total without matching the number of visits and included tasks.
  • Assuming carpet extraction, floor refinishing or appliance interiors are included.
  • Overlooking renewal dates, cancellation notice, price reviews and holiday arrangements.
  • Leaving the process for approving extra work or resolving missed tasks undefined.
  • Reducing washroom and kitchen attention without considering how the office is used.

To control costs, keep desks clear, arrange storage so floors can be reached and choose a schedule based on actual occupancy. Discuss which low-use areas can be cleaned less often while giving busy areas the attention they need. For more questions to ask a provider, read How to Decide on a Cleaning Company.

Frequently Asked Questions

How much does office cleaning cost per square foot in Toronto?

A square-foot rate is useful only when you know the service frequency and the work included. Dividing a monthly quote by floor area gives a monthly figure per square foot; dividing a single-visit quote gives a different measure. Ask which one a provider is using and compare the same scope and period. This guide does not establish a verified Toronto rate per square foot. Request a site-specific written quote instead of treating the budgeting examples as a rate card.

Is daily cleaning more expensive than weekly cleaning?

With the same assumed price per visit, more visits increase the monthly total, as the examples above show. Actual quotes may use different visit lengths or divide tasks differently across the week, so the change is not necessarily a simple multiple. Compare the total monthly amount, the number of visits and the work completed at each visit.

Are cleaning supplies included in commercial cleaning rates?

That depends on the written agreement. Ask whether cleaning chemicals and equipment are included, and check toilet paper, hand soap, paper towels and bin liners separately. Consumables may be supplied by your office or charged under a separate arrangement. Record both the purchasing and replenishment responsibilities so that an apparently inclusive quote does not leave a gap.

Does after-hours office cleaning cost more?

It depends on the provider's schedule and your building's access requirements. Evening access may fit the service plan, while security attendance, parking, restricted access windows or special arrangements may affect a quote. Ask for any related charges to be identified in writing. Do not assume that every after-hours visit carries a surcharge.

How often should a small office be professionally cleaned?

Start with the number of people using it, visitor traffic, food preparation, washroom use and the condition of the space between visits. A lightly occupied office may need a different contractor schedule from a busy office of the same size. Agree on day-to-day housekeeping between visits, review the results and adjust the professional cleaning schedule when occupancy or usage changes.

Are carpet cleaning and floor waxing included?

Do not assume specialist floor work is included in routine maintenance. Vacuuming and suitable damp mopping are different tasks from carpet extraction or floor stripping and waxing. Ask for the method, areas, frequency, preparation requirements and price of any specialist work to be listed separately, or explicitly included in the contract.
